What a church giving statement must include
A donor can't deduct any single gift of $250 or more without a written acknowledgment from the church. One year-end statement listing every gift covers it. Per IRS Publication 1771, the statement needs:
- The church's or organization's name.
- The amount of each cash contribution (cash, check, card or online).
- Whether the church gave the donor any goods or services in return. A church can state that it provided only intangible religious benefits. This generator prints that sentence on every statement.
- For gifts of property, a description of the item, but not its value. This generator covers cash gifts; add a note for non-cash gifts.
The donor needs the statement by the earlier of the day they file their tax return or the return's due date, which is why most churches send them in January.
Questions
Is my donor data uploaded anywhere?
No. The spreadsheet is read and the statements are made inside your own browser. Nothing about your donors is sent to us. We only count anonymous totals, like how many sets of statements were printed today.
What spreadsheet layout does it need?
One row per gift with a header row. It finds columns named things like "Name", "Donor", "First Name" and "Last Name", "Date", "Amount", "Fund", "Address", "City", "State", "Zip" and "Email". If it guesses wrong, pick the right column from the menus.
Can I use it for a nonprofit that isn't a church?
Yes. Choose "Other nonprofit" in step 1 and the statement will say that no goods or services were provided, without the religious-benefits wording.
What about gifts where the donor got something back, like a dinner ticket?
For a payment over $75 that's partly a gift and partly for goods or services, the IRS requires a separate written disclosure with a good-faith estimate of what the donor received. Handle those gifts separately; this tool assumes nothing was given in return.
Is this tax or legal advice?
No. It formats the records you give it. Check totals before you send, and ask your accountant about anything unusual.
